The Bank of East Asia Enhances Internal Communications by Implementing an HR Intranet Solution Empowered by COL's Professional Services

As Hong Kong's largest independent local bank, The Bank of East Asia ("BEA") employs more than 4,000 staff locally. To ensure effective management of all recruitment information, employee data, staff benefits, plus work as well as vacation records, payroll and much more, BEA relies heavily on its human resources information system. When BEA decided to implement additional human resources functions to better support its staff members and organisation, they also wanted to include an employee self-service component to streamline their HR system and reduce administrative costs.

For this reason BEA selected COL to handle the overall HR system enhancement project for several key reasons. Firstly, because BEA's longstanding IT partner, COL was very familiar with the Bank's IT infrastructure. Secondly, COL had experience with BEA's HR system, as the company had worked closely with the Bank's IT and Recruitment & Personnel Services departments on various HR-related projects dating back to 1998.

As a staff tool, the new HR self-service solution will eventually enable all employees to access and manage their leave schedules, rosters, OT claims, attendance records, and other HR matters. After the implementation of these additional functions, BEA also expects to enjoy greater workflow efficiency, including a faster approval process. By eliminating the need for hardcopy forms, requests will become more difficult to lose, and much easier to trace and monitor. In addition to enhancing operational efficiency, this solution will allow BEA, as an environmentally responsible organisation, to significantly reduce paper consumption.

COL has been asked to develop the self-service solution and integrate it with the existing Human Resources Management System, which COL developed and presently maintains. Given all the personal information stored online, it is essential that the solution is completely secure. And, in view of the volume of data processed each day, one of COL's challenges will be to successfully connect its new employee self-service solution to BEA's constantly evolving HR system and database. COL must also ensure that the new web-based tool will be accessible from the PC browsers of BEA's employees.

The COL project team has been working closely with various functional units within BEA and has assisted in evaluating all of the user aspects of the employee self-service solution. "Having worked with us for more than a decade, COL understands our employees' needs and our business requirements," says Herman Woo, senior project manager at BEA. "We believe COL can help us develop an HR system that will optimise our manpower resources."

BEA looks forward to enhancing staff productivity by developing a more effective and efficient HR administration procedure.
